1. Provident Fund Trust Management
· Manage the end-to-end administration of the Company’s Exempted Provident Fund (PF) Trust.
· Oversee PF contributions, withdrawals, advances, transfers, settlements, and interest crediting.
· Maintain accurate member records, reconciliations, balances, and statutory documentation.
· Ensure compliance with the EPF & MP Act, 1952, related schemes, and applicable regulations.
· Liaise with EPFO and statutory authorities on inspections, approvals, exemptions, and regulatory matters.
· Track regulatory changes and implement necessary process, system, and documentation updates.
2. Pension & Retirement Benefits Administration
· Administer matters relating to the Employees’ Pension Scheme (EPS), including member support, documentation, and compliance.
· Provide guidance to employees and retirees on PF, pension, and retirement benefits.
· Coordinate retirement settlements with HR, Payroll, Finance, and other stakeholders.
· Ensure timely and accurate benefit calculations, documentation, and employee communication.
· Promote awareness and understanding of PF, EPS, and retirement benefit processes.
3. Governance, Trusteeship & Compliance
· Support the effective functioning of the PF Trust Board/Trustees.
· Prepare meeting agendas, papers, minutes, compliance updates, action reports, and presentations.
· Ensure adherence to trust rules, statutory requirements, investment guidelines, and governance standards.
· Coordinate with trustees, auditors, investment managers, actuaries, legal advisors, and regulatory authorities.
· Maintain statutory records, filings, returns, and trust-related documentation.
· Drive closure of audit observations and implementation of process improvements.
4. Fund Accounting, Audit & Financial Reporting
· Oversee PF Trust accounting, financial reporting, and regulatory disclosures.
· Ensure timely reconciliation of contributions, member balances, investments, bank accounts, and ledgers.
· Coordinate preparation of annual accounts, financial statements, and audit schedules.
· Liaise with auditors, tax advisors, and external consultants.
· Review interest calculations, settlement accounting, and investment income allocation.
· Support investment monitoring in line with regulatory guidelines and trustee-approved policies.
5. Payroll, HR & Employee Services
· Partner with HR and Payroll to ensure accurate PF deductions, employer contributions, and compliance reporting.
· Address employee queries on PF, EPS, transfers, withdrawals, nominations, UAN, KYC, and retirement settlements.
· Deliver a high-quality employee experience through responsive and accurate support.
· Act as the organization's subject matter expert on PF and retirement benefits.
6. Process Excellence & Digital Transformation
· Drive initiatives to enhance operational efficiency, accuracy, compliance, and employee experience.
· Lead automation, digitization, and simplification of PF and pension administration processes.
· Strengthen internal controls, documentation standards, and maker-checker mechanisms.
· Support implementation and optimization of payroll, PF accounting, employee self-service, and reporting systems.

- Receive and process vendor invoices: This includes reviewing invoices for accuracy, coding invoices with the correct account codes, and verifying that the invoice matches the purchase order.
- Maintain accurate records: Keep accurate and up-to-date records of all accounts payable transactions, including invoices, receipts, and payments.
- Monitor payment schedules: Track payment due dates and ensure that payments are made on time to avoid any late fees or penalties.
- Process payments: Prepare checks or electronic payments to vendors and ensure that they are sent out on time.
- Reconcile accounts: Verify that vendor accounts are accurate and up to date by reconciling accounts and resolving any discrepancies.
- Respond to vendor inquiries: Communicate with vendors to answer any questions they may have about their accounts or payment status.
- Maintain vendor files: Maintain accurate and up-to-date files on all vendors, including contact information, payment terms, and payment history.
- Follow company policies: Adhere to company policies and procedures related to accounts payable processing.
- Collaborate with other departments: Work closely with other departments, such as purchasing and accounting, to ensure that all transactions are processed accurately and efficiently.
- Perform other duties as assigned: Assist with other tasks or projects as needed to support the accounting team.
- Major Experience in SAP ERP
- Support P2P Lead to provide services at expected levels with a clear customer service and escalates exceptions, ensuring proper accounting of financial transactions.
- Interacts proactively with all functional areas to ensure appropriate accounting, financial reporting and settlement of liabilities are accomplished.
- Coordinate with local entities and outsourced activities to provide seamless service.
- Contact Vendors to facilitate payment, ensuring alignment with business partners.
- Manage blocked invoices, assessing risk and proposing actions in collaboration with business partners and in compliance with policies and procedures.
- Manage direct debits and bill of exchange transactions in collaboration with Reporting and related banks.
- Perform Vendor Master Data Maintenance and regular statement reviews, i.e. invoicing in collaboration with Commercial Operations.
- Perform balance sheet reconciliation of allocated accounts and ensure timely resolution and clean-up of overdue items identified.
- Support continuous improvement of services in quality and effectiveness in close collaboration with line manager and peer colleagues, isolates problem trends and ensures that troubleshooting efforts are completed for recurring problems until permanent solutions are found.
- Process credit card related matters (application, inquiries, dunning process on overdue balances on credit cards), travel requests, advance payment requests and expense reports in line with Company's Expense Manuals and flags any non-compliance in a timely manner.
- Responsible for all accounts payable administrative functions such as invoices matching purchase orders, obtaining approvals and entering the invoices in the accounting system.
